ZextaOS ("we", "our", "us") respects your privacy and is committed to protecting the personal data of our users. This Privacy Policy explains how we collect, use, and safeguard information when you use our chess academy management platform (the "Service").

For Academy Owners and Coaches: ZextaOS acts as the Data Controller for your direct account information (such as your name, email, billing details, and academy settings).

For Students: The Academy Owner or Coach is the Data Controller. ZextaOS acts strictly as the Data Processor. We only process student data to provide the software infrastructure for the coach. We do not market to students, and we do not sell or monetize individual student data.

• Account Information: Name, email address, and authentication credentials for Academy Owners and Coaches.
• Student Data: Names, chess ratings (e.g., Lichess usernames), and game history as provided by the Coach or generated on the platform.
• Temporary Emails: The platform often generates placeholder email addresses (e.g., [email protected]) for rapid student onboarding. These are non-functional strings used solely for database indexing and authentication; they do not send or receive actual mail.
• Usage Data: We collect anonymized, aggregated telemetry data (e.g., "10,000 puzzles solved platform-wide") to monitor performance and improve our services.

Our built-in video conferencing tool, ZextMeet, utilizes direct peer-to-peer WebRTC technology. ZextaOS does not record, intercept, or store any video or audio streams from these sessions on our servers. The connection is established directly between the coach and the student(s).

Academy Data: Academy Owners can request the deletion of their academy data. Upon account cancellation or deletion, we will remove your primary data from our active databases.

Student Data: Coaches can manage or delete student records within their academy.

Chat Records (ZexChat): ZexChat messages are encrypted in transit and at rest. However, messages sent through ZexChat may be retained on our servers for legal compliance, abuse prevention, and historical record-keeping, even if a specific user account is deleted by the Academy Owner. ZexChat is not an "End-to-End Encrypted" (E2EE) service.

We use strictly necessary cookies and secure encrypted session tokens to keep you authenticated across your academy workspace. We also use local storage to save your dashboard layout preferences. Additionally, we use an IP-based geolocation service to display localized pricing on our marketing pages.

We integrate with Dodo Payments for subscription billing. We do not directly store your credit card numbers. Your payment data is securely handled by Dodo Payments and is subject to their privacy policy.
